Mistakes at the stage of personnel selection are costly – it is estimated that hiring the wrong person can cost the company up to several times its annual salary. So how do you make the recruitment and selection process run smoothly and only the best specialists get to the team?

Recruitment and selection of candidates for a given position – key differences

Before we move on to specific steps, it is worth explaining what the selection of candidates is as opposed to the recruitment itself. Although these terms are often used interchangeably, they describe other stages:

  • Recruiting employees is the process of attracting and generating a pool of potential candidates. These are marketing and communication activities aimed at informing the market that we are looking for hands to work.
  • Employee selection, on the other hand, is a stage of filtering, evaluating and selecting a specific person from among those who have decided to submit their application.

Only the combination of recruitment and selection of employees creates a full talent acquisition cycle.

Phase I: Preparation and search for potential candidates

The first step to success is to precisely define your needs. Without a solid foundation, the whole process can end in failure.

Define a candidate profile

Before the content of the advertisement is created, recruiters must create the so-called persona of the ideal candidate. Not only hard technical skills should be taken into account, but also soft skills and adaptation to the organizational culture. It is crucial to clearly define the requirements of the position: what education, seniority and specific certifications are necessary?

Search strategy in the recruitment process

Modern recruitment is based on multi-channel. The search for candidates can be carried out by:

  • Job portals.
  • Social Media
  • Direct Search (direct reaching out to professionals who are not currently looking for a job).
  • Employee referral programs.

A good strategy increases the chances of reaching people who actually fit into the model of the best candidate.

Phase II: Selection of candidates – from CV analysis to tests

When the first applications arrive, the busiest stage for the HR department begins.

Analysis of application documents

CV analysis and cover letter analysis are initial verification. Recruiting at this stage involves rejecting applications that don’t meet the cut-off criteria. Recruiters pay attention to the consistency of professional experience and the form of the documents themselves. However, it is worth remembering that paper does not always reflect its full potential, which is why modern methods of pre-screening, such as short video recordings, are increasingly used.

Competency tests and practical tasks

To minimize the risk of error, it is worth introducing tools to verify the declared skills as part of the selection.

  • Recruitment tests: They may test analytical abilities, foreign language proficiency, or expertise.
  • Practical tasks: They allow you to see how a potential employee deals with real problems in a given position. For example, a programmer can get a piece of code to improve, and a copywriter can get a topic to work on.

Assessment Center (Ośrodek Oceny)

For senior positions or key roles in the organization, the Assessment Center is used. This is one of the most effective methods of candidate selection, which involves observing participants while performing simulations of group and individual tasks. It allows for a multidimensional assessment of social and leadership competences.

Phase III: Meetings and interviews

Face-to-face meetings are the moment when a relationship is built. Interviews should be structured – this means that each candidate for a position should hear a similar set of questions, allowing for a fair comparison of their answers.

Key elements of the conversation:

  1. Behavioral interview: Questions about specific situations from the past (e.g., “Describe a situation in which…”).
  2. Motivation survey: Why does a person want to work with us?
  3. Verification of matching: Are the values of the candidate aligned with the company’s mission?

Remember that in the recruitment process, the interview is two-way. The candidate also evaluates us as employers. How the conversation is conducted affects the building of the employer’s brand (Employer Branding).

Phase IV: Checking references and hiring decision

Once we have selected a narrow group of the best candidates, the last step before submitting an offer remains – checking references.

Many managers skip this stage, which is a mistake. Contact with previous superiors allows you to confirm the facts contained in the application documents and find out how a given employee functions in the team.

Modern methods and technology in the service of HR

Effective recruitment in 2026 cannot do without technological support. ATS (Applicant Tracking System) systems help manage the candidate database, automate communication and allow for quick data analysis. Thanks to them, recruitment and selection become more transparent and the process takes much less time.

Automation helps in such aspects of the recruitment process as:

  • Pre-selection based on keywords.
  • Making appointments.
  • Sending feedback after each stage (which is crucial for the Candidate Experience).

So how do you choose the best candidate?

To sum up, effective recruitment is a combination of precise planning, modern tools and deep empathy. There are no shortcuts – each of the key elements, from preparing a profile to checking references, plays a vital role.

Proper assessment of their competencies and reliable analysis of application documents allows you to hire people who not only have knowledge, but also passion and willingness to develop in the structures of your organization. Remember that every new employee is an investment that should bring a return in the form of innovation, commitment and stability of the company.
